Board of Directors / Responsibilities:
President’s Responsibilities:
The President shall preside at all meetings of the Members and of the Board of Directors using Robert’s Rules of Order, Modern Edition. The President shall perform such other duties and may exercise such other powers as may be assigned to him or her from time to time by these bylaws or by the Members. He/she approves the meeting agenda. He/she also serves as the primary contact with the Management Company for non-contractual, non-financial matters. He/she prepares President’s remarks for inclusion in Newsletters.
Vice-President’s Responsibilities:
The Vice President assists the President with his/her duties and takes over in the President’s absence. He/she serves as the primary contact with the Management Company concerning all contractual matters.
Secretary’s Responsibilities:
The Secretary shall record all proceedings of the meeting of the Members and Board of Directors of the Association in a book kept for that purpose. The Secretary shall prepare and disseminate draft meeting minutes and agendas, incorporate required revisions, and shall provide final draft minutes and the President's approved final agenda to BOD members prior to the BOD meeting. He/she shall ensure that all notices are duly given in accordance with the provisions of these Bylaws or as required by Virginia law, and generally performs all duties and has such additional powers incident to the office of Secretary as may be assigned to him or her from time to time by these bylaws, the President, or by the Board of Directors.
Treasurer’s Responsibilities:
The Treasurer shall be responsible for supervising the funds, securities, receipts, and disbursements of the Association. The Treasurer shall consolidate budget input monitor and report to the BOD on a monthly basis the expenditures against the approved budget and prepare a recommended budget for the following fiscal year. He/she serves as the Chair of a budget working group meeting with the sole purpose of developing a final draft budget for Board of Directors approval and their releasing the approved budget to the homeowners. The Treasurer shall review all invoices prior to payment by the Management Company. The Treasurer shall review the Management Company’s budget execution reports for accuracy and completeness. He/she serves as the primary contact for financial/contractual matters with the Management Company.
